For finance leaders
Technology renewal calendar template
Technology contracts renew before anyone looks. Notice dates pass quietly, and the bargaining power goes with them. Most finance teams find out a contract has renewed when the invoice arrives.
This is the same calendar I build in the first weeks of every Diagnostic: one row per agreement, with the notice date calculated for you. It is a spreadsheet, so you can sort it, filter it and share it with whoever owns each contract.
No newsletter signup. I use your details only to release the resource and to see which topics matter most. I will not add you to a mailing list.
What's in it
- Vendor and scope: Who you pay and what the agreement covers
- Term start and term end: The current term of each agreement
- Notice period (days): How much notice the contract requires to cancel or change terms
- Notice date: Calculated for you: term end minus the notice period
- Annual value: What the agreement costs you each year
- Owner and action: Who is responsible, and whether to renegotiate, consolidate, cancel or renew
Excel format. One illustrative row and a short how-to sheet are included.
Why the notice date matters more than the end date
Most technology agreements renew automatically unless you give notice, often 60 to 90 days before the term ends. Once the notice date passes, the vendor knows you are committed for another term. The conversation about price, scope or exit is over before it started.
Before the notice date, you have options: a competing quote, a shorter term, fewer licences, or a consolidation after an acquisition. After it, you have an invoice. That is why I track the notice date, not the end date, and why I start work on a renewal months before it is due.
The hard part is not the spreadsheet. It is finding every agreement. Contracts sit across finance, IT and operations, and nobody owns the whole list. I start from accounts payable, because every agreement you pay for shows up there, even the ones nobody can find the contract for.
